Shopify order status vs fulfillment status
Why paid and fulfilled in Shopify are not the same as production progress on a custom order.

Shopify gives every order a few official states: payment, fulfillment, and (if you use it) Shopify’s own order status page. Those flags answer questions like “did they pay?” and “did we ship?”
They do not answer “is this still waiting on a photo?” or “did the customer approve the proof?”
Why merchants mix these up
In Admin, an unfulfilled paid order looks like work to do. For a stocked product, that work is pick, pack, and ship. For a custom product, the same row might mean “waiting on artwork,” “in production,” or “ready to ship.” Shopify does not know which.
Fulfillment is also not all-or-nothing. A Shopify order can be partially fulfilled when some line items have shipped and others have not. That is a shipping fact. It is not a production stage.
What each status is actually for
Payment status tells you the money side. Useful for whether you should start work at all.
Fulfillment status tells you whether Shopify thinks items have shipped. Use it for shipping, tracking, and inventory—not as your only production board.
Your own workflow statuses describe the job: received, waiting on customer, proof sent, in production, ready to ship. Those names belong to your shop, not to Shopify.
Customers often use the word “status” for all of the above. If your public language only says Unfulfilled for three weeks, they will email you.
A better split
Keep Shopify fulfillment for shipping events. Keep a separate, ordered list of production stages for the work before a box exists.
When an order actually ships, you can still honor Shopify fulfillment. Some shops then move their own workflow to a completed step so the team queue and the customer timeline stay aligned.
Common mistakes
- Treating Unfulfilled as a to-do list for designers and production
- Showing customers a paid/unfulfilled pair and expecting them to infer “we are engraving your order”
- Marking an order fulfilled because production finished, even though it has not shipped
- Treating a partial shipment as if the whole custom order were complete
Using Orstrax Orderflow
Orderflow statuses are yours. You name them, color them, and put them in sequence. Shopify fulfillment stays visible on the order as a separate fact.
On the customer lookup page, progress follows your status sequence. If Shopify has only shipped some items, lookup can show that the order is partially filled instead of treating any tracking number as “done.”
If Shopify later marks the order fulfilled, an optional automation can move the Orderflow status to a step you choose. That rule is off until you turn it on. It is not a general automation builder.
