How to let customers upload photos after a Shopify order

How custom-product shops can collect customer photos after purchase without chasing email attachments.

Published 2026-09-09

Many custom products need a customer photo: a pet, a handwriting sample, a logo, a child’s drawing. Checkout file uploads are possible, but they are not always the right moment. People order from a laptop and have the photo on their phone. Gift buyers do not have the file yet.

If your process is “email us the photo,” you will spend time matching attachments to orders.

What usually goes wrong with email photos

  • The subject line is “photo” with no order number
  • They send a Google Drive link that expires
  • They send the photo to the generic support address, not the person running production
  • They send a new photo later, and nobody knows which one is current
  • Staff download files to a desktop folder named after the customer’s first name

The photo has to stay with the order. That sounds obvious until the queue is 40 orders deep.

A better pattern

Give the customer a way to add photos while looking up that order. Optional uploads belong on an early status (“we have your order; add photos if you have them”). Required photos belong on a real request, with a clear “we cannot continue until this arrives.”

Let them crop an image if the product needs a tight subject. Keep PDFs as files, not as something you force through a cropper.

Common mistakes

  • Asking for photos only in the product description
  • Accepting photos in Instagram DMs
  • Starting production from a thumbnail in email preview
  • Mixing customer-supplied photos with your own proof files so nobody can tell which is which

Using Orstrax Orderflow

Collect Info lets customers optionally upload photos from order lookup. No customer email is sent. They look up the order, choose Add photos, upload one or more files, and can crop each photo before it is saved. PDFs skip the cropper.

Submitted files show on the order as a thumbnail and filename.

If you need to require a photo or a written reply, and you want Orderflow to email them a link, use Request Information instead.
