How to collect missing information after a Shopify order
What to do when a custom order is paid but the customer still needs to send details, photos, or files.

Checkout can collect a lot. It cannot collect everything, especially when the customer does not have a photo on their phone yet, is buying a gift, or did not understand a personalization field.
When that happens, the order is paid and stuck. The worst response is a vague “please send us the details” email that never mentions the order number.
Why information is missing after checkout
- The product form was too long, so people skipped fields
- They planned to email a photo later
- A spouse or gift recipient has the file
- The line-item property exists but is unreadable
- They assumed you already had the artwork from a previous order
None of that is rare. A shop that sells custom work should expect a second collection step.
What a good follow-up should do
- Ask for exactly what you still need
- Let the customer reply without creating a Shopify account
- Put the answer on the order your team is already looking at
- Optionally move the order to a “ready for production” stage when they submit
- Avoid starting a new thread that nobody files
Email vs a request attached to the order
A plain email is fine as a nudge. It is a poor filing cabinet. Attachments get renamed. Replies arrive from a different inbox. The order in Shopify still looks empty.
A request that opens from a link—and lands back on the order—gives you one place to look.
Optional photos vs a required reply
Not every missing piece should send an email. If you only want to allow extra photos from order lookup, that is a different, lighter pattern than “we cannot continue until you answer.”
Use a required request when production cannot start. Use an optional upload when extras help but are not blocking.
