How to track Etsy orders through production

If you engrave, print, embroider, sew, sublimate, or otherwise make the thing after the Etsy checkout, you need a production picture—not only a shipping picture.

This is not limited to those trades. Any made-to-order shop hits the same wall: Etsy unfulfilled is a pile, not a sequence.

Name the stages you already have

Start from the sentences people shout across the room:

• We do not have the photo yet
• Art is in progress
• Waiting on the customer to approve
• On the machine
• Ready to pack

Those sentences are statuses. Write them down. Put them in the same order as the work.

Keep Etsy language and shop-floor language apart

Etsy will still say processing or completed in its own way. Shopify will still say unfulfilled or fulfilled. Your production stage answers a different question: what should the next pair of hands do?

One practical workflow

After the order is in Shopify, move it through your stages as the work happens. Do not wait until Friday to “update everything.” The queue is only honest if today’s state is on the order.

When a job is actually ready to leave, that is its own stage. Then fulfill in Shopify. Mixing “almost done” with “boxed” is how labels get bought too early.

Using Orderflow

Orderflow statuses are merchant-defined. The examples above are optional. When you change status in Update Order, Orderflow writes a Shopify tag prefixed with status- plus that name, which is useful later for a Shopify shipping view.

Orderflow does not import the Etsy sale. It tracks production on the Shopify order the connector created.
