How to manage due dates for custom Shopify orders

How custom-product shops can track need-by dates before an order is ready to fulfill.

For a stocked product, the important date is often the ship date. For a custom order, you usually need an earlier date: when production must finish, when a proof is due back, or when the customer asked to have it.

If that date only lives in a note, a tag, or a line-item property, it is easy to miss until the order is already late.

Why due dates get lost

Shopify can store ship-by or fulfill-by details, and some shops already collect a date in additional details or line-item properties. The checkout form does not automatically turn that into a production queue.

Staff then sort by order number or created date. The wedding order due Friday sits under a stack of newer orders that are not urgent.

What a useful due-date practice looks like

  • One date the team can sort and scan, not five competing dates in notes
  • A way to set or change it while working the order
  • A default only when you truly mean “if we do not know, assume N days”
  • Respect for dates the customer already gave you, instead of overwriting them

Practical options

Shopify additional details. Fine as a source. Weak as a working list, because the queue still does not sort by them.

Calendar apps. Fine for a tiny team. They disconnect from the order the moment someone copies the date wrong.

A Ship by date on the order row. The queue can show what is due soonest. That is the version production actually uses.

Common mistakes

  • Using created-at as a priority system
  • Putting the date only in an internal comment
  • Auto-filling every order from a Shopify field that is not actually a need-by date
  • Telling the customer a due date you never put on the order

Using Orstrax Orderflow

You can set Ship by on the order row or inside Update Order. The Orders list can sort by Ship by soonest or latest.

Settings include a default offset—how many days from today to use when a Ship by date is not set.

If an order has no Ship by date, an optional automation can copy a date from Shopify additional details, line-item properties, or the ship-by date shown on the Shopify order page. Existing Ship by dates are left alone. Turn that on only when those Shopify fields are how your shop already stores a need-by date.
